Due to shifting budget and staffing levels, VUIT is adapting our event support model to ensure we can continue to provide support and re-invest into the technology needed for events. To manage our resources effectively, we are introducing the following updates to our event technology services:

Prioritize Tech-Ready Spaces: We encourage organizers (both internal and external) to utilize rooms with pre-installed technology. This reduces the need for active support and ensures a smoother experience for your audience. In the near future, VUIT will offer training for the tech-ready spaces.

Updated Fee Structure:

Standard Tech Room: $100 base rental fee.

Remote/Temporary Setup: $300 rental fee (for spaces without permanent tech).

Employee Benefit: If an employee utilizes equipment during business hours, there will be no additional fee to use the technology.

Staffing & After-Hours: While utilizing the technology in these rooms and support remains free for employees during standard business hours, the additional service fees will now apply to external organizations and after-hours events. If there is a need after hours for a technician or equipment set-up that will take place outside of business hours, a fee will be included.
Our Goal: 100% of the funds collected through these fees will be re-invested directly into upgrading our media event technologies, ensuring a better experience for future campus events.
